A reschedule almost never happens on inspection day. It gets created days earlier, quietly, during intake — when someone accepts an order with a half-populated address, an unconfirmed contact, or an occupancy status that says "owner-occupied" but is actually a tenant who works nights and won't answer the door.

By the time the appraiser is standing in a driveway calling a number that goes to voicemail, the failure is already three or four days old. The fix isn't better field discipline. It's a tighter front door.

  1. The address is technically wrong. Unit number missing, a rural route address that maps to the wrong parcel, or a new-construction lot that doesn't exist in the mapping database yet.
  2. Occupancy was assumed, not confirmed. The order says vacant; it's occupied. Or it says owner-occupied; it's a rental with a tenant who never got notice.
  3. The point of contact isn't the person with access. The borrower's cell is on the order, but the property is a rental and the tenant controls the door.
  4. Access requirements were never captured. Gate codes, lockbox codes, HOA gate call-ahead rules, dogs, "call 30 minutes before arrival" instructions.

None of these are field problems. Every one of them is knowable at intake — if someone asks the right question and refuses to advance the order until it's answered.

That "refuses to advance" part is where most intake SOPs quietly fail. They list the fields. They just don't enforce them.

What a real order looks like when it goes wrong

A typical example: a firm takes in a purchase order from an AMC. Address is populated. Borrower phone is populated. Everything looks clean, so the scheduler accepts it and drops it into the next day's route.

  1. The property is a duplex, but the order lists it as a single-family. The appraiser is expected to inspect one unit — nobody specified which.
  2. Occupancy is listed as "owner-occupied," but the owner moved out two months ago and it's now vacant with utilities shut off. No power means no water heater test, poor interior lighting for photos, and possibly a return trip.
  3. The contact is the buyer's agent, who is out of town and won't answer.

The appraiser drives 40 minutes, can't get in, can't reach anyone, photographs the exterior, and leaves. The order gets rescheduled. The AMC gets a delay notice. The turn-time clock keeps running against your SLA.

Now multiply that. A mid-size shop running around 300–350 inspections a month with even a 6–8% reschedule rate is eating somewhere close to 20–25 wasted trips monthly. At a loaded cost of maybe $40–$70 per wasted trip — once you count mileage, appraiser time, and coordination overhead — that's a few thousand dollars a month leaking out of an entirely preventable spot.

And that number undersells the actual damage, because reschedules also quietly wreck your SLA metrics and make you look slower to clients than you actually are.

The pre-check script: questions that actually catch problems

The core of a good intake SOP is a short pre-check script the scheduler runs before an order is accepted or scheduled. Not a 30-question interrogation — a targeted set of validations that catch the four failure modes above.

  1. Validate the address against the parcel, not just the map. Confirm the address resolves to a real parcel and that unit/lot details match the order. New construction and rural addresses get flagged for a manual parcel check.
  2. Confirm occupancy from the person who'd actually know. Not "what does the order say" — "who lives there right now, and are utilities on?" Vacant-with-utilities-off is its own flag because it changes what you can inspect and photograph.
  3. Identify the access-holder separately from the borrower. Ask explicitly: who physically opens the door? For rentals, that's almost always the tenant, and tenant notice has its own timeline.
  4. Capture every access requirement in one pass. Gate codes, lockbox, HOA call-ahead, pets, parking constraints, any "notify X hours before" rule.
  5. Confirm a working callback path. Test that at least one contact number is reachable before scheduling, not the morning of.

The point isn't the list existing. It's that the order cannot move to "scheduled" until each of these has a real answer. An empty occupancy field should stop the order cold.

The order-validation checklist

Turn the script into a hard gate. This is the checklist a coordinator — or the system — runs on every incoming order before it's eligible for the calendar:

  1. Full address including unit/lot, validated against parcel data
  2. Property type on order matches parcel records (SFR vs. 2–4 unit vs. condo)
  3. Occupancy confirmed by name — owner, tenant, or vacant
  4. Utilities status confirmed if vacant
  5. Access-holder identified and distinct from ordering party where relevant
  6. At least one contact number tested and reachable
  7. Gate/lockbox/HOA access requirements captured
  8. Pets / hazards / special instructions noted
  9. Required-photo scope understood for the property type (interior units, outbuildings, etc.)
  10. Scheduling constraints captured (tenant availability windows, business-hours-only, etc.)

"Occupancy confirmed by name" is deliberately worded that way. "Occupancy: owner-occupied" is a checkbox someone clicks without thinking. "Confirmed by name" forces an actual conversation to have happened.

Permission templates: stop rewriting the same access request

A big chunk of reschedules on tenant-occupied and vacant properties come from permission gaps — the appraiser has the right to inspect but no confirmed arrangement with the person controlling the door.

The value here is consistency. When every tenant-occupied order automatically triggers a tenant-availability request at intake — rather than the night before — you stop discovering on inspection morning that the tenant works a shift that doesn't overlap your window.

The vacant-utilities-off template matters more than it looks. That's the one where an appraiser shows up, can't run water or test the water heater, takes dim interior photos, and either has to return or submits a file that draws exceptions later. Flagging it at intake lets someone make a real decision — proceed knowing the limits, or push the date until power is restored. It also connects directly to field photo standards that pass lender review — dark, powerless interiors are a common source of photo rework.

Calendar-embed rules: don't let a bad order reach the schedule

The last piece is making sure the calendar actually respects the intake gate. This is where a lot of firms undo their own good work — a diligent coordinator validates everything, then a second person books an order that never got validated because nothing stops them.

  1. No order books until validation is complete. The order stays in a "pending validation" state and is invisible to the scheduling view.
  2. Occupancy type drives the earliest bookable date. Tenant-occupied orders can't be scheduled inside the required notice window. Vacant-utilities-off orders can't book until status is resolved or the client signs off on proceeding.
  3. Access requirements travel with the appointment. Gate codes and call-ahead rules attach to the calendar entry itself, so the appraiser sees them without digging through the order file.
  4. Reschedule reason gets captured every time. When one does happen, the reason is logged against a fixed list — bad address, no access, occupancy mismatch, contact unreachable — so you can see which intake gap is leaking.

That last point is the quiet compounding win. When you tag every reschedule to a cause, within a month or two you can see exactly which validation step is failing most and tighten it. Most firms never do this, so they treat reschedules as random bad luck instead of a measurable, fixable defect.

Where automation earns its place — and where it doesn't

You don't need to automate this to get value. A coordinator with the checklist above and the discipline to hold orders will cut reschedules noticeably on their own.

  1. A solo appraiser doing a handful of local, owner-occupied orders a week probably doesn't need calendar-embed rules — a personal checklist is enough.
  2. If your reschedule rate is already very low and access surprises are rare, you're optimizing a problem you don't have.

A two-appraiser firm handling mostly purchase and refi work — call it 280–320 orders a month — was rescheduling somewhere around 20 inspections monthly. Most traced back to two causes: tenant-occupied properties where nobody had arranged access ahead of time, and vacant homes with utilities off.

They added a two-minute pre-check to intake, permission templates tied to occupancy type, and a rule that tenant orders couldn't be scheduled until tenant availability was confirmed. Within about two months the reschedule count dropped to the high single digits — not zero, but roughly cut in half.

The bigger shift was less obvious in the numbers: schedulers stopped spending mornings scrambling to re-contact people, and AMC delay notices slowed to a trickle. Nobody worked harder in the field. The problems just stopped reaching the field.
